Stop hunting contracts in WhatsApp — one folder per client

When a client asks for “the PDF”, WhatsApp search is not a filing system. Keep one folder per client on your computer, then find the contract in seconds.

The office problem

The contract was sent “here”. The passport was sent in another chat. The landlord forwarded a third file at 11pm. A week later the client writes: send me the PDF. You scroll. You type a name. You open the wrong attachment.

WhatsApp is how Dubai offices receive files. It is a poor place to keep them.

One folder per client

The rule is small: every file that belongs to a person or a company lives in that client’s folder on the computer. Chat is inbound. The folder is the record.

Ramsha Docs treats each client as a workspace. If you already have folders on disk, you import them — you do not rebuild the office. Files stay where they are.

Move one client out of the chat

Pick the client who messaged you today. That is enough for the first hour.

  1. 1Create a free account and open Ramsha Docs on Mac or Windows.
  2. 2Create one client workspace — or import the folder you already use for that client.
  3. 3Save the contract, IDs, and anything still sitting in WhatsApp into that workspace. Leave the chat for messages, not for storage.
  4. 4Next time they ask for the PDF, search the client by name and send the file from the folder — not from a scroll.

What you should feel after a week

Fewer “which PDF?” loops. A place to drop the next attachment the same day it arrives. Search by client name instead of by the last person who forwarded a file.

This is not a new inbox. It is one folder per client, on your computer.

Put one client in a folder today

Start free — no card. Open Ramsha Docs and keep the next contract with the client, not in the chat.
